what is the process in the train station when it’s not obligated to book the journey?

Yes you show the QR-code (your ticket) to staff at the ticket barriers in Rome. Often you can simply board the train and show the app whenever asked by someone.

If you don't have a reservation, then you choose a coach and seat yourself, just like in a French TER.
